Internships: instructions for use

Create your internship agreement

  •  The agreement must be created at least 15 days before the start of the internship, otherwise the internship will not be validated.

Don't forget to include:

•a copy of your student ID card
•proof of civil liability insurance covering you during the internship ("professional life, training, school activities, internships")

 

Electronic signature of internship agreements

Since the start of the 2023 academic year, in order to simplify and speed up the process of signing internship agreements, the University of Grenoble Alpes (UGA) has rolled out the use of electronic signatures via the certification provider Yousign.

 

The steps

Step 1

The internship supervisor for the student's training program submits the internship agreement to our service provider Yousign's platform. The platform then sends an email to the first four signatories of the agreement.
  • The student.
  • The designated teacher.
  • The guardian in your organization.
  • The head of the host organization (legal representative authorized to sign).
Each signatory must follow the email sent by Yousign in order to access the agreement.

This process is completely free and secure.

To verify your identity, you will receive an encrypted code in your email inbox. This code will then allow you to access the document and add your electronic signature.
 

Step 2

Once all four signatures have been obtained, the document is sent to the student's department director via an electronic signature book for the final signature, which legally validates the agreement. The agreement can then be downloaded by anyone using a link sent by email.

Rules to follow

Please note that there are three rules to follow when undertaking this process:

  • Check and validate in advance all the articles of the agreement and the signatories involved, as well as the validity of the email addresses.
  • Remember to check your spam folder, as the email from Yousign may have been sent there.
  • Do not print the agreement, in order to protect the environment and comply with the electronic signature procedure.
