Electronic signature of internship agreements
Since the start of the 2023 academic year, in order to simplify and speed up the process of signing internship agreements, UGA has deployed the use of electronic signatures via certification provider Yousign.
The stages
Step 1
The internship coordinator from the student's training component submits the internship agreement to our service provider Yousign. The platform then sends an e-mail to the first 4 signatories of the agreement.
The student.
The referent teacher.
The tutor in your organization.
The person in charge of the host organization (legal representative authorized to sign).
Each signatory must follow the e-mail sent by Yousign to access the agreement.
The process is completely free and secure.
To ensure your authentication, you will receive an encrypted code in your mailbox. This code will then allow you to access the document and sign electronically.
Step 2
Once all 4 signatures have been obtained, the document is sent to the director of the student's training component for final signature, thus legally validating the agreement. The agreement can then be downloaded by anyone using a link sent by e-mail.
Rules to observe
Please note that there are 3 rules to follow in this process:
Check and validate all the articles of the agreement and the signatories involved, as well as the conformity of the e-mail addresses.
Don't forget to check the spam folder in your mailbox, as the Yousign e-mail may be in there.
Please do not print out the agreement, for ecological reasons and to respect the electronic signature procedure.
